Position Summary
Manage all aspects of departmental administration with more than 45 providers to including financial operations, faculty affairs, human resources and other diverse issues. Provide leadership and management when coordinating these activities; collaborate with Department Chair, PGA and other members of MFA administrative team in achieving the goals and objectives of the department of Obstetrics & Gynecology and the MFA.  Ensures successful integration of new faculty and administrative support staff to continually enhance departmental programs and mange cost, improve revenue, and enhance clinical quality, patient safety, service and employee engagement.
Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

  1. Oversees the day-to-day non-clinical activities, leadership and general management of the department operations, financial performance, budget and ensuring a high level of productivity. These functions include, but are not limited to, provider schedules, and administrative support of the department.    
  2. Operational responsibility for the routine business functions through administrative supervisors including support staff to ensure maximum utilization of resources and the efficient delivery of services for assigned practice(s).
  3. Coordinates, in conjunction with the PGA, Physician leader(s) and Clinical Nurse Manager, the human resource functions for non-clinical staff including hiring, payroll approval, performance evaluation, counseling, terminations, promotions, wage/salary adjustments, disciplinary decisions and grievance procedure; coordinates, in conjunction with the physician leader, the logistics of administrative human resource functions for clinical staff; assists in the development and implementation of programs designed to retain staff and enhance team work among working groups; oversees payroll activities of patient care support staff.
  4. Participate and assist with all financial management activities including the development of annual operating and capital budgets; monitors performance against the budget on a monthly basis, explaining variances and taking corrective action as necessary. Generates an action plan to address financial issues. Monitors operation of a budget-sensitive service model, including departmental staffing requirements and productivity levels. 
  5. Develops group practice orientation for new hires; coordinates the training of non-clinical staff; leads multi-disciplinary team in providing a strong and consistent customer service orientation; maintains records on training activities.
  6. Develops and implements a system to ensure that established policies, goals, and objectives are achieved and in compliance with the department and system policies and procedures, standard practice of the profession, and related local, state and federal codes and regulations.
  7. In conjunction with the PGA, Physician leader(s) and Clinical Nurse Manager, determines the composition and scheduling of non-clinical staff to assure the delivery of effective and cost efficient care. Works with call center and leadership for patient access; involved in provider template development & management and scheduling of providers at the department locations.  Works with providers to maximize patient appointment capacity and optimize appointment access.  Meets regularly with Health plan leadership to develop strategies of patient access, quality measures and finance as it relates to the plans.
  8. Prioritizes workload demands, establishing productivity expectations, and cross covering functions within and across areas as needed.
  9. Assists Clinical Nurse Manager, staff, providers, and patients with resolution of problems at the team level.
  10. Participates in the implementation of procedures, collection of data, and development of systems to meet contractual requirements of insurer groups.
  11. Ensures that all correspondence/communication associated with prior authorization, collection of outstanding balances and financial collection, and reimbursement activities are completed on a timely basis by working with reimbursement staff.
  12. Works with the Faculty Affairs Coordinator for data analysis in preparing monthly and ad hoc statistical reports, accompanied by recommendations for problem resolution as appropriate and supports credentialing and onboarding of new providers.
  13. Works with the Department Supervisors and support team to maximize work efficiency, implement, and review when necessary.
  14. Participates in meeting identified quality assurance objectives.
  15. Assists with the development and implementation of marketing plans to promote patient services and programs both internally and externally.
  16. Continuously develops, review, implement and re-assess plans for achieving the goals and objectives of the department consistent with the strategic plan and changing needs of the MFA.

Education           
A Bachelor’s Degree in Healthcare Administration or related field necessary required. Master’s degree in Healthcare Administration, or an equivalent combination of training and experience is preferred.
 
Experience        
Six years of practice management experience to include patient registration, insurance verification, patient care support services management and supervisory experience is necessary. Strong communication and organizational skills are necessary.
