Position Summary
Provides primary support to the Department of Surgery Administrative Office. Assists with faculty affairs on all aspects for the Department of Surgery including coordinating recruitment efforts, maintaining physician licensure and credentialing, managing faculty academic appointments and promotions. Perform routine clerical and general office work.  Position requires attention to detail.

Essential Duties and Responsibilities 
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
                                                                                 
  1. Provide full administrative support to the department Chairman, Practice Group Administrator and Managers as needed to include but not limited to maintaining schedules; answering phones; relaying communication and coordinating meetings with senior management team.
  2. Maintains appropriate records, files, and accounts, instituting or enforcing accountability and confidentiality procedures according to nature of the documents.
  3. Interacts with the office of Faculty Affairs at GWU to complete the hiring process.
  4. Assists in managing the initial application and signature process of all new and renewal application for medical staff privileges, and managing any changes to the Surgery delineation of privileges.
  5. Complete applications for physicians and providers to obtain privileges to other hospitals.
  6. Responsible for monitoring all medical licensure and expiration dates.
  7. Type faculty and resident call schedules and letters of recommendation.
  8. Assists department chairman in preparation of monthly staff meeting.
  9. Picks up and distribute all incoming / outgoing mail and faxes for the department.
  10. Scheduling and management of conference rooms.
  11. Assist with preparing requests to have invoices and reimbursements paid.
  12. Inventories and maintains office supplies and equipment.
  13. Arranges for repair and maintenance of machines, equipment and furniture.
  14. Maintains vacation and meeting calendars. Keeps track of faculty leave.
  15. Other administrative duties as assigned.      

Qualifications

Education           
1-2 years of college or an equivalent combination of training and experience is necessary.
                                                                                              
Experience        
At least five years’ experience including two in a large health plan or clinical care setting.  Extensive managerial experience in an academic setting involving the use of clinical information programs. Extensive knowledge of current medical information technology and applications. In depth and/or expert knowledge and experience in computer use.

Competencies  
3 years of secretarial experience, including at least six months of business administration experience is necessary.  Excellent word processing skills are necessary.

Administrative and functional supervision is received from the PGA and Department Managers.
