Position Summary
Manage all aspects of departmental administration including financial and clinical operations, faculty affairs, the human resources and other diverse issues. Provide leadership and management when coordinating these activities; to collaborate with Department Chairs, practice group administrator, nurse managers and other members of MFA administrative team in achieving the goals and objectives of the departments and the MFA.

Essential Duties and Responsibilities 
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Other duties may be assigned.

  1. Coordinates, in conjunction with Practice Group Administrator and the physician leaders the human resource functions for non-clinical staff including hiring, performance evaluations, counseling, terminations, promotions, wage/salary adjustments, disciplinary decisions and grievance procedure; coordinates, in conjunction with the physician leader, the logistics of administrative human resource functions for clinical staff; assists in the development and implementation of programs designed to retain staff and enhance team work among working groups; oversees payroll activities of patient care support staff.
  2. Develops revises and implements standards and policies for financial and operational aspects of patient care goals and objectives.
  3. In conjunction with the practice group administrator, physician leaders and nurse managers, determines the composition and scheduling of staff to assure the delivery of effective and cost efficient care.
  4. Prioritizes workload demands, establishing productivity expectations, and cross covering functions within and across areas as needed.
  5. Directs /oversees all financial management activities including the development of annual operating and capital budgets; monitors performance against the budget on a monthly basis, explaining variances and taking corrective action as necessary.
  6. Continuously develops, reviews, implements and re-accesses plans for achieving the goals and objectives of the departments consistent with the strategic plan and changing needs of the MFA.
  7. Works in partnership with the PGA and Sr. Director of Revenue Cycle to reduce denial rates, improve the financial results of cash collections, and decrease the number of patient billing issues and concerns.
  8. Continuously develops, reviews, implements and re-accesses plans for achieving the goals and objectives of the departments consistent with the strategic plan and changing needs of the MFA.
  9. Participates in the implementation of procedures, collection of data, and development of systems to meet contractual requirements of insurer groups.
  10. Develops group practice orientation for new hires; coordinates the training of staff; leads multi-disciplinary team in providing a strong and consistent customer service orientation; maintains records on training activities.
  11. Assists with the development and implementation of marketing plans to promote patient services and programs both internally and externally.
  12. Ensures that all correspondence/communication associated with billing, collection, and reimbursement activities are completed on a timely basis by working with reimbursement staff.
  13. Provides data analysis and ad hoc statistical reports, accompanied by recommendations for problem resolution as appropriate.
  14. Continually seeks opportunities for improving service delivery and the patient experience by using MFA patient survey results, feedback from yelp, zoom shift and other outlets.
  15. Follow/develop metrics to monitor growth and patient satisfaction.
  16. Keep up with updates on work flows and protocols to optimize operations.
  17. Responsible for monitoring productivity to ensure clinical commitment met by all providers in order to adequately staff location.
  18. Works in partnership with the PGA’s to develop a standardized and scalable practice model to assist the organization in expanding surgical services as a consumer-friendly access point, facilitating network integration and gaining a competitive advantage in the market.
  19. Employs various forms of communications to foster open and regular communication with staff and providers to overcome barriers that can isolate staff working off site from the main office, where the leadership and support functions of the organization reside.
  20. Provides coaching and mentoring to individuals reporting directly to this position. Ensures performance feedback is provided and uses evaluations and management tools for coaching and development.
  21. Assists staff, providers, and patients with resolution of problems at the team level whenever possible.
  22. Participates in meeting identified quality assurance objectives.
  23. Oversees registration and billing functions.
  24. Ensures appropriate clinical staffing and assignments.
  25. Evaluates all aspects of patient care delivery system and makes recommendations for improvements.

Education           
A Bachelors Degree in Business Administration or related field necessary. Master’s degree in Health Care Administration or an equivalent combination of training and experience is preferred.
 
Experience        
Four to six years of practice management experience to include patient registration, insurance verification, patient care support services management and supervisory experience is necessary. Experience in appropriate clinical specialties is preferred. Strong communication and organizational skills are necessary.
