Job Description

Position Summary:
The Executive Surgical Coordinator provides primary support to the physicians in the department of Surgery in the areas of surgery scheduling (pre and post), pre-op and post-op testing. This position will be responsible for obtaining pre-certification for various medical services performed by the Department of Surgery and must successfully comprehend clinical data for procedure and diagnosis coding. S/he must be knowledgeable in all participating third party carrier policies and procedures regarding pre-certification. This position also serves as the Administrative Assistant for the Physicians in the practice and may travel between office locations to provide support.
 
Essential Job Duties:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Other duties may be assigned.

  • Manage the scheduling of surgeries, pre-op testing, and post-op testing.
  • Meet or call prospective surgery patients to determine date, time frame, and facility for procedure.  Initial contact will be made within 2 business days.
  • Prepares and provide pre-op patient packet either in person, mail, or e-mail.
  • Answer telephone lines; make, reschedule, or cancel appointments forward or take messages as needed.
  • Medical Records processing and maintenance (obtain for pre-op clearance, New Patients and processing of requested medical records).
  • Maintains updated and accurate notes in electronic medical record concerning all billing and insurance information.
  • Contacts third party carriers to verify insurance benefits and obtains pre-authorization for all procedures.
  • Generates insurance referrals as directed by the medical provider.
  • Assists medical provider with patient care information applicable to scheduled service.
  • Acts as a contact for patient, for rescheduled procedures and cancellations.
  • Acts a liaison between the MFA and other outside medical entities; such as emergency hospital admissions.
  • Works closely with the reimbursement staff to ensure proper billing and coding for pre-authorization to insurance companies.
  • Obtains home care authorization for patients.
  • Performs additional duties as assigned.

Related Duties
  • Function as Administrative Assistant for physicians and providers  in Practice.
  • Schedule, coordinate all consults, procedures, surgery and post operative appointment for  patients.
  • Initiate and obtain authorization for all in office  procedures
  • Collect and process payments for selfpay patients
  • Research and complete appeals with insurance companies to ensure that claims are paid for services initially denied for payment.
  • Serve as back-up for various office tasks.
 
Requirements
 
  • High school diploma. Some college or equivalent training and work experience preferred.          
  • At least one year of responsible health care accounting/financial analysis or pre-certification is needed. Clinical background is preferred.
  • Knowledge of healthcare industry, physician billing practices, and third party reimbursement.
  • Demonstrated working knowledge of federal and state regulations, insurance policies and procedures.
  • Good interpersonal and communication skills required with ability to work with varying levels within the organization.
  • Knowledge of automated accounts receivable software preferably IDX.
  • Proficient in MS Office (MS Word and Excel)
  • Excellent written, verbal and organizational skills are required.
